iGUIDE Integration: Tours and Floor Plans on Orders

Connect iGUIDE (Beta) so booking a mapped service creates the iGUIDE in your Portal, and its floor plans and tour links sync back onto the order.

If you shoot with an iGUIDE camera, the tour and floor plans usually live in a different system from the rest of the job: you create the iGUIDE in the Portal, scan, wait for it to publish, then copy the links and download the plans onto the order by hand. The iGUIDE integration closes that loop. Booking a mapped service creates the iGUIDE in your Portal for you, your photographer scans and uploads into it as usual, and when iGUIDE publishes, the floor plans and tour links land on the order, ready to deliver.

iGUIDE is in Beta. It carries a Beta badge in Spatiko and connects and works like any other integration. It’s new, so expect it to keep improving.

What you need first

  • Your own iGUIDE Portal account. Spatiko creates iGUIDEs in that account, and Planitar bills it directly. Spatiko doesn’t resell iGUIDEs or show iGUIDE prices.
  • Your photographers as iGUIDE sub-accounts, if you want each iGUIDE to land in the right photographer’s Portal list.
  • A plan that includes it. iGUIDE is available on Starter and up — see pricing.

Connecting iGUIDE

iGUIDE is a business-wide connection. An owner or admin connects it once from Settings → Integrations, under Storage & Delivery, and it covers the whole team. You sign in to iGUIDE in a popup and approve access; the popup closes itself when you’re done. See how connecting works for the general flow.

iGUIDE access lasts one year and can’t be extended. From 30 days before it runs out, the iGUIDE settings show Reconnect before a date and your admins get an in-app reminder. Reconnecting renews it for another year. If it lapses, new iGUIDEs aren’t created and finished ones don’t sync until you reconnect — the iGUIDEs already on your orders keep their state.

iGUIDE settings

Open the iGUIDE card in Settings → Integrations to choose how it behaves.

  • Create an iGUIDE when booked — the master switch for automatic creation. The line under it lists the services currently mapped to iGUIDE. Turning it off keeps your mappings but stops new iGUIDEs being created.
  • Import automatically — on, floor plans and tour links land on the order as soon as iGUIDE publishes. Off, you get a notification and an Import button on the order, and nothing appears until you press it.
  • Photographers — match each photographer to their iGUIDE sub-account, so the iGUIDE lands in their Portal list, ready to scan into. Obvious name matches are filled in for you and marked Matched by name; check them before you save. A photographer left on Use default editor isn’t added to the iGUIDE — assign an editor in your iGUIDE Portal. No sub-accounts listed? Add them in your iGUIDE Portal and reopen the settings.

Floor plans come back in the units you sell in — feet for a business that uses sq ft, metres for m² — and in French when French is your default client language, English otherwise.

Mapping services to iGUIDE

Mapping tells Spatiko which of your services are iGUIDEs, so booking one creates the iGUIDE by itself. Open the service in Settings → Services & Forms; with iGUIDE connected, its Fulfillment section lets you choose a Fulfillment provider — None, iGUIDE, or CubiCasa if you’ve connected that too. A service fulfils through one provider at a time.

Choosing iGUIDE gives you two settings:

  • iGUIDE type — iGUIDE Photos, iGUIDE Radix, iGUIDE Standard, or iGUIDE Premium. Or pick Add-ons only for a service that adds work to the iGUIDE another service creates, without creating one itself.
  • Add-ons — CAD Floor Plan (DWG), 3D Model (Revit), Xactimate ESX, and Site Plan. iGUIDE Photos and iGUIDE Radix don’t take add-ons, and the 3D Model is iGUIDE Premium only. Add-ons queue at iGUIDE and start once the base draft is done.

Mapped services show the iGUIDE mark in your service list, so you can see at a glance which ones are mapped to iGUIDE. If an order includes a service with “iGUIDE” in its name that isn’t mapped yet, the order’s Floor Plans section suggests mapping it.

How mapping behaves on real orders:

  • One iGUIDE per property. An iGUIDE is one scan of one home, so an order with several mapped services gets a single iGUIDE at the highest type among them, with all their add-ons combined.
  • Packages count too. Booking a package that includes a mapped service creates the iGUIDE.
  • Timing. The iGUIDE is created as soon as the booking lands, with the order’s address and the shoot’s photographer as editor. Orders that require payment upfront wait until the payment clears, so an abandoned checkout never leaves an iGUIDE behind.
  • An address is required. If the order has no property address, Spatiko notes it on the order and notifies your admins; add the address and Spatiko creates the iGUIDE then (or create it yourself from the Media tab).
  • Reassigning the shoot before the scan moves the iGUIDE to the new photographer, if they’re matched to an iGUIDE sub-account.
  • The type is set at creation. If the order later asks for a higher type, Spatiko notes it on the order — upgrade the iGUIDE in your Portal.

Creating or linking an iGUIDE by hand

Mapping isn’t required. On any order, open the Media tab and use the menu on the Floor Plans section. Owners and admins can do this on any order that isn’t cancelled — it needs full order management, which photographers don’t have by default.

  • Create iGUIDE — pick the type and add-ons (prefilled from the mapped service when there is one) and the industry (Residential real estate by default). It’s created in your Portal with the order’s address and the shoot’s photographer as editor. This option only appears when the order has no iGUIDE yet, or only ones that were rejected, cancelled, or abandoned.
  • Link existing iGUIDE — scanned into an iGUIDE you created yourself? Paste its tour link, its Portal link, or its iGUIDE ID. Spatiko tracks it from then on and imports the floor plans and tour links when it’s published. Any empty iGUIDE Spatiko created for the order is set aside — delete it in your Portal if you don’t need it.

Following the iGUIDE on the order

While an iGUIDE is in progress, it shows as a tile at the front of the order’s Floor Plans section, so its status sits where you already look. Click the tile to open the iGUIDE in your Portal.

  • Awaiting scan — created and waiting for the photographer to upload the scan.
  • Scan overdue — still empty a day after the shoot. It usually means the scan went into a different iGUIDE; Link it swaps in the right one.
  • Drafting at iGUIDE — the scan is in, and iGUIDE is drafting it. It’s usually ready within 24 hours.
  • Ready to import — published at iGUIDE, waiting for your Import (when Import automatically is off).
  • Delivered — imported, with the date. Once iGUIDE reports the billable area, the tile shows that too.
  • Rejected or Cancelled at iGUIDE, with Create new to start over, and Import failed with Retry import.

The tile’s menu also has Open tour, Import now, Link a different iGUIDE…, Abandon iGUIDE (for one that hasn’t been scanned), and Detach from order (for an iGUIDE that’s been scanned, or one you created or linked by hand). Detaching unlinks the iGUIDE without changing anything in your Portal; anything already imported stays on the order.

Your admins get in-app notifications when an iGUIDE is delivered, is ready to review, is rejected, or can’t be created. Problems that need a decision from you — a failed create, an address that changed after the scan — are also noted on the order’s activity.

What lands on the order

When iGUIDE publishes, Spatiko imports:

  • Floor plans — one image per floor, into the order’s Floor Plans section alongside anything you uploaded yourself.
  • Floor Plan (PDF) — added as a file link on the order.
  • Two tour links — iGUIDE Tour and iGUIDE Tour (Unbranded), both included in client delivery by default.

iGUIDE Photos and iGUIDE Radix deliver the tour only, so for those types just the two tour links land on the order. The PDF link is added when iGUIDE publishes one that doesn’t expire.

From there it’s ordinary media. If the order is still in its first stage, it moves on automatically the way any first upload does — to Production by default, or wherever your pipeline sends it — and delivery stays yours to trigger. Your client’s delivery carries the floor plans and both tour links. The property website gets one tour section showing the unbranded tour, which keeps it safe on the site’s unbranded link.

If iGUIDE republishes after a correction, the floor plans and links update in place, keeping your captions and order. Floor plans you deleted stay deleted.

Limits worth knowing

  • Scans upload to iGUIDE, not Spatiko. Your photographer uploads the scan to the iGUIDE exactly as they do today.
  • iGUIDEs can’t be deleted through the connection. Cancelling the order, removing the mapped service, abandoning an unscanned iGUIDE, or changing the address before the scan all leave the empty iGUIDE in your Portal. Delete it there by hand if you don’t need it.
  • An address change before the scan replaces an iGUIDE Spatiko created from a mapped service. The old one is set aside, and a fresh one is created for the new address while Create an iGUIDE when booked is on. For an iGUIDE you created or linked by hand, update the address in your Portal. After the scan, update the address on the iGUIDE in your Portal — Spatiko notes that on the order.
  • Cancelling after the scan leaves the iGUIDE at iGUIDE. Spatiko notes on the order that you manage it in your Portal.
  • Notifications are in-app. There’s no email for iGUIDE events yet.
  • Reconnect once a year, as described above.

Frequently asked questions

Does Spatiko charge me for iGUIDEs?

No. Every iGUIDE is created in your own iGUIDE Portal account, and Planitar bills that account directly. Spatiko doesn't resell iGUIDEs or handle the payment.

What happens to the iGUIDE if the order is cancelled before the scan?

Spatiko stops tracking it, but the empty iGUIDE stays in your iGUIDE Portal, because the connection can't delete iGUIDEs. Delete it there by hand if you don't need it. If the scan already happened, the order notes that it's at iGUIDE and you manage it in your Portal.

Why do I have to reconnect iGUIDE once a year?

iGUIDE's access for connected apps lasts one year and can't be extended. Spatiko warns you 30 days ahead in the iGUIDE settings and with an in-app notification, and reconnecting renews it for another year.

Will iGUIDE branding show on my property websites?

No. When an order has both the branded and unbranded tour links, the property website shows the unbranded tour. The order's delivery keeps both links, so you can hand the branded one to clients who want it.
