Sending Client Emails Through Gmail

Connect Gmail so booking confirmations, delivery notifications, and receipts send from your own email address — send-only access, replies land in your inbox.

Spatiko sends a lot of email on your behalf — booking confirmations, delivery notifications, payment receipts. Connect Gmail and all of it goes out from your own Gmail address, through your own account, instead of a platform address. Agents see the sender they already know, replies land straight in your inbox, and the messages sit in your Gmail Sent mail like anything else you send.

With and without Gmail

You don’t need Gmail connected for client email to work. Without it, Spatiko sends from its platform address with your business name as the sender name and your business email set as the Reply-To — so replies still reach you. Connecting Gmail upgrades that: the From address becomes your actual Gmail address, which is what agents recognize, search for, and have filters built around.

Which emails go through it

Every client-facing email your business sends routes through one pipeline, and when Gmail is connected all of it uses your address:

  • Booking and scheduling — order confirmations (with the calendar invite attached), order-details updates, reschedule and cancellation notices, shoot reminders, and shoot wrap-ups.
  • Delivery — delivery notifications and property website notifications.
  • Payments — payment requests and payment receipts.
  • Client portal access — sign-in magic links and email verification codes.
  • Everything else client-facing — property-website inquiry confirmations and the editing requests you send to editors.

Emails Spatiko sends to you — account and sign-in emails for your own login — still come from Spatiko. The integration only affects mail sent on your business’s behalf.

What Spatiko can and can’t do in your account

This is the part worth being precise about. Spatiko requests Gmail’s send-only permission, plus basic profile info (so it knows which address it connected). That’s it. It cannot read your inbox, your existing mail, your drafts, or your contacts, and it can’t delete or modify anything in your account. The only thing the connection is technically able to do is send.

One connection for the business

Gmail is a business-level connection, not a personal one — you connect it once and every teammate’s client emails send from that same address. That makes it a good fit for the address your agents already write to, whether that’s your main address or a dedicated one like bookings@yourdomain.com (if that mailbox is a Gmail or Google Workspace account). When sending fails

No client email is ever lost to a Gmail hiccup. If a send fails for a transient reason, that email simply falls back to the platform sender. If Google has revoked Spatiko’s access — say you removed it from your Google account, or the connection expired — Spatiko marks the integration as expired, emails whoever connected it a reconnect link, and keeps sending everything through the platform fallback in the meantime.

Disconnecting works the same way, just on purpose: Spatiko’s access is revoked on Google’s side, and the fallback sender (your business name, Reply-To your business email) takes over immediately.

The disconnect confirmation — the same dialog every integration uses. It's a one-way switch back to the platform fallback sender, and your Gmail account itself is never touched.

Plan requirements

Connecting Gmail requires a paid plan — see pricing for what each plan includes. On a downgrade the connection is paused rather than deleted and the platform fallback takes over; upgrading restores it automatically.
