Sending a Delivery

Publish a real estate photography delivery in Spatiko — send the client a branded gallery link, mark the order complete, and notify them automatically.

Once a shoot is edited and the files are on the order, sending it to the client is a single step. Spatiko calls it complete and deliver — one action that closes out the order and hands the client their gallery. This page covers what that action does, what you need in place first, and how re-delivering, previews, and invoicing fit in.

What “complete and deliver” does

When you deliver an order, Spatiko does several things at once:

  • Sets the order to Completed and stamps the delivery date.
  • Marks the order’s sessions complete.
  • Emails the client a delivery notification with their gallery link (more on that below).
  • Publishes the order’s property website, if there is one.
  • Recalculates team payouts and logs the delivery on the order’s history.

What you need before you can deliver

An order is ready to deliver when:

  • It isn’t cancelled.
  • It has at least one deliverable — ready photos, a video, a tour or content link, a cloud delivery folder, or a published property website. (See uploading your media for getting files onto the order.)
  • There’s a recipient email on file — unless you choose to deliver without notifying the client, in which case no email is needed.

The client notification

The delivery email gives the client everything in one place: the gallery link, the link’s expiry, your optional personal message, and a note if a property website is included.

The client opens the gallery straight from that link — no account, no password. The link stays valid for 90 days by default, and the agent can also reopen the gallery any time from their client portal. For what the client sees once they open it, see delivery galleries.

If the email fails to send for any reason, the delivery itself still goes through — the order is completed and the gallery is live either way. You can always resend the notification later.

Preview before sending

Want to check exactly what the client will get? There’s an admin-only preview of the delivery, so you can see the gallery the way they’ll see it before you send anything.

Re-delivering and resending

If you need to deliver an order again — say you added a few reshot photos — go ahead and deliver a second time. Re-delivering keeps the original delivery date and reuses the same gallery link (its 90-day expiry simply refreshes), so any link you’ve already shared keeps working.

Once an order has been delivered, the same dialog switches to resend mode — the existing gallery link is right there to copy or send again.

You can also resend the notification to a chosen recipient at any time without re-delivering, which is handy when a client says the email never arrived.

Delivering counts toward your plan’s monthly delivery allowance the first time an order goes out; re-delivering that same order doesn’t count again.

How invoicing and payment tie in

What happens with billing depends on how the order is set up:

  • If the order doesn’t use the pay-before-download gate, an invoice is created and sent automatically when you deliver — the client gets their files and their invoice together.
  • If the order does require payment before download, delivery hands off to the pay-to-download flow instead: the client can preview in the gallery, and full-resolution files unlock once they pay.
