Viewing and Downloading Your Media

What agents see in the client portal order list and order detail page, and exactly how re-downloads and cloud-storage originals work.

The portal is where your clients go to see every shoot and grab their files, without emailing you for a resend. Here’s what they see and how downloads actually work.

The order list

On the portal home, an agent sees every order for their business, searchable by property address. Three counters sit at the top: total orders, completed, and in-progress. Each order card shows the property address, the schedule, a hero thumbnail once the shoot is delivered, a “Website” badge if a property website exists for that order, the current status, and a “Balance due” indicator if there’s an outstanding amount.

The order detail page

Clicking an order opens its detail page, which includes:

  • Address and schedule, plus the assigned photographer’s name, phone, and photo, if one is assigned.
  • A progress timeline — created, status changes, reschedules, content added, delivered, and payment received, showing the last 20 events.
  • Delivered content — photos, floor plans, embedded content links, and videos, once the order’s delivery is complete. Nothing is downloadable before that point.
  • A full pricing breakdown — line items, travel fee, any discount or promo code, and totals.
  • Payment history with receipts — card brand and last 4 digits, receipt links, and any refunded amounts.
  • A link to the property website, if one was created for the order.

Downloading files

Once an order is delivered, the agent can download individual photos and floor plans in the format they need — Original, Web-optimized, or MLS-ready — or use “Download all” to grab everything from the delivery gallery at once.

If your shoot files live in your business’s connected Dropbox or Google Drive instead of Spatiko’s own storage, the “originals” download is a one-click ZIP of the whole delivery folder, generated fresh at the moment the client clicks — so the page never has to wait on Dropbox or Drive to load.

Videos download individually rather than as part of the folder ZIP, and only the ones with an uploaded source file behind them. A video added by pasting a hosted link (YouTube or Vimeo) can’t be downloaded — there’s no file to hand over, only the embed to watch.

When downloads are locked

If your business requires payment before releasing files, downloads stay locked until the balance is paid. The client sees a “Payment Required” or “Unlock downloads” prompt and has to pay the outstanding amount — through an in-portal card payment, if you have online payments turned on — before any file becomes available. The portal’s order detail and download screens use the same components as the one-off delivery link you can send for a single shoot without a client account. The portal is just that same experience made permanent, organized by account instead of by a one-time link.
