CubiCasa Floor Plans: Order, Scan, Deliver

Connect CubiCasa so floor plans are ordered when a shoot is booked, scanned on site with the CubiCasa app, and delivered onto the order with your photos.

Floor plans are usually the one deliverable that lives outside your business software: you scan in one app, download the files from a dashboard, then upload them to the right job by hand. Connecting CubiCasa closes that loop. Booking a floor-plan service places the CubiCasa order for you, your photographer scans the property with the CubiCasa app they already use, and the finished plans land in the order’s Floor Plans section — ready to deliver alongside the photos, on the property website, and in the client portal.

What you need first

CubiCasa runs on your own CubiCasa company account. Orders placed through Spatiko are billed by CubiCasa directly to that account, at whatever rates you’ve negotiated with them — Spatiko doesn’t resell floor plans, never touches the money, and doesn’t show CubiCasa prices anywhere. What your account can order (which packages, which add-ons) also comes from CubiCasa, so what you see in Spatiko mirrors your own plan.

Connecting CubiCasa

CubiCasa is a business-wide connection: an owner or admin (anyone with the integration-settings permission) connects it once from Settings → Integrations, under Storage & Delivery, and it covers the whole team.

There’s no popup to approve — you paste in an API key you generate on your CubiCasa company Developers page. Spatiko checks the key straight away, confirms which CubiCasa company it belongs to, and reads what that account is allowed to order. If your CubiCasa plan changes later — you add 3D, say — use Refresh account info in the CubiCasa settings so the new packages and add-ons show up in Spatiko.

Delivery and ordering defaults

Open the CubiCasa card in Settings → Integrations to set how orders are placed and how finished plans arrive.

The CubiCasa settings: whether finished plans import on their own or wait for your review, how the scan gets to whoever is scanning, and the package and add-ons new orders start from.

Delivery decides what happens when CubiCasa finishes a plan:

  • Import automatically — the plans land on the order as soon as they’re delivered.
  • Review first — you get a notification and an Import button on the order, and nothing appears until you press it.

Ordering decides how the scan reaches the person doing it:

  • Assign to photographer in the CubiCasa app — the order shows up in that person’s CubiCasa app, ready to scan. This needs them to be a user in your CubiCasa company. If the assigned photographer isn’t one, Spatiko falls back to your default scanner, and then to your CubiCasa account email.
  • Email a GoToScan invitation — CubiCasa emails the scan link straight to the address, which is handy when the scan is done by someone without a CubiCasa seat — a freelancer, or the agent themselves. GoToScan is available for US accounts, and the property’s postal code is required.

The three packages are 2D Floor Plan, 2D Floor Plan + Fixed Furniture, and 3D Floor Plan. Add-ons are the GLA / ANSI Report, 6-Hour Express Delivery, a 3D Walkthrough Video, and CAD Files. Two pairing rules apply: the 3D Walkthrough Video only goes with the 3D package, and CAD Files need either 2D + Fixed Furniture or 3D. Anything your CubiCasa account doesn’t have enabled is shown greyed out rather than hidden, so you can see what you’d be adding if you upgraded on CubiCasa’s side.

Ordering automatically when a service is booked

This is the setup worth doing: tell Spatiko which of your services are floor plans, and every booking that includes one places the CubiCasa order by itself.

Mapping services to CubiCasa. Services whose name looks like a floor plan are marked Suggested and sorted to the top; each mapped service carries its own package.

Flip the master switch on, then switch on each service that should order a floor plan and pick its package. You can do the same from the service itself — the service editor gains a Fulfill with CubiCasa toggle once the integration is connected. Mapped services get a small CubiCasa mark in your service list so you can see at a glance which ones trigger an order.

A few things worth knowing about how mapping behaves:

  • Packages count too. If a package includes a mapped service, booking that package orders one floor plan.
  • Two mapped services on one order means two CubiCasa orders — one per line item. If a client should get a 2D and a 3D plan, that’s two services; if they should get one plan, keep one service with the right package.
  • Timing. The CubiCasa order is created as soon as the booking lands. Orders that require payment upfront wait until the payment clears, so an abandoned checkout never leaves a live scan order behind.
  • Nothing is billed yet. Until the scan is actually submitted, the order sits as a draft on CubiCasa’s side with nothing charged.
  • Edits keep it in sync. Change the property address, reassign the shoot, or reschedule, and Spatiko updates the pending CubiCasa order to match. Remove the service or cancel the booking, and the pending order is deleted.
  • The master switch pauses everything. Turning it off keeps your mappings saved but stops new orders being placed.

If an order can’t be placed — no property address on the order, no postal code for a GoToScan invitation, a package your CubiCasa plan doesn’t include, or nobody to assign the scan to — Spatiko notes the reason on the order, notifies your admins once, and leaves you to order it manually. It won’t retry silently or place something you didn’t intend.

Ordering or attaching one by hand

Automatic mapping isn’t required. On any order, open the Media tab and use the menu on the Floor Plans section:

  • Order floor plan via CubiCasa — pick the package and add-ons (prefilled from your defaults, or from the mapped service if there is one) and confirm who’s scanning. Anyone who can manage the order can do this.
  • Attach existing CubiCasa order — created the order directly in CubiCasa? Paste its link or ID and Spatiko adopts it: it tracks the status from then on and imports the plans when they’re ready. If it’s already delivered, the plans come straight in — or wait for your Import, if you’re on review-first.

Following the scan on the order

While a CubiCasa order is live, it shows as a tile at the front of the order’s Floor Plans section, so the shoot’s status is visible where you already look.

The states are: Awaiting scan (with who it’s assigned to, or who the invitation went to), In production once the scan is submitted, Being fixed while a revision is underway, and Delivered with the date it landed. In review-first mode you’ll also see Ready to import with an Import button, and if CubiCasa can’t complete a job, Failed with the reason and a Retry.

Every step is written to the order’s activity trail, and your admins get an in-app notification when a plan is delivered (or is ready to review). Failures also send an email, since those need a decision from you. The tile’s menu opens the job in CubiCasa whenever you need the source.

When the plans come back

A delivered order imports as floor plan media on the order — the plans plus their dimensioned versions — and slots into the Floor Plans section next to anything you uploaded yourself. Extra deliverables you ordered don’t get lost either: the GLA report, a home report, a 3D walkthrough video, CAD files, and a CubiCasa tour link are attached to the order as deliverable links.

From there it’s ordinary media. The order moves itself to Production if it hasn’t already, and the plans go out through your normal delivery — the gallery, the ZIP, the property website, the client portal. Delivery stays yours to trigger; nothing is sent to the client automatically.

Revisions, failures, and cancellations

  • A plan needs fixing. Request the change in CubiCasa. The tile shows Being fixed, and when the revised files are delivered they replace the previous version on the order — don’t place a new order for a redraw.
  • A job fails. You get an email and an in-app notification with CubiCasa’s reason. Retry reopens the order dialog with the same package and add-ons, and uploading a floor plan by hand is always available as a fallback.
  • Cancelling before the scan removes the order from CubiCasa and from the scanner’s list, with nothing billed. After the scan is submitted, production has started on CubiCasa’s side — Spatiko says so plainly and points you to CubiCasa to manage it. A GoToScan invitation that’s already been emailed can’t be recalled either; removing it in Spatiko only unlinks it.
  • Detach unlinks a CubiCasa order from the Spatiko order without cancelling anything. Plans already imported stay on the order, and you can re-attach it later with its link or ID.
  • Disconnecting stops new orders and imports. Your service mappings aren’t deleted — the service editor tells you they’ll resume if you reconnect, and offers to remove them if you’d rather start clean.

Fitting it into your workflow

  • Map the service instead of ordering by hand. The point of mapping is that the CubiCasa order exists before you leave for the shoot — no one has to remember to create it on the morning of the job.
  • Assign the shoot before the day. Whoever is assigned when the booking lands is who the scan goes to. If your photographers don’t hold CubiCasa seats, set a default scanner once and stop thinking about it — or switch to GoToScan invitations.
  • Collect the full address on your order form. Street, city, and postal code are what Spatiko sends across (with map coordinates when it has them). A missing postal code is the most common reason a GoToScan invitation can’t be sent.
  • Bundle the floor plan into a package. If your Essentials package already includes a floor plan, mapping that one service covers every booking of the package — clients never have to pick it separately.
  • Start on review-first, switch to automatic. Reviewing the first handful of plans before they appear on the order is a cheap way to build trust in the loop. Once you’ve seen a few, automatic import saves you a step per shoot.
  • Let reschedules ride. Pending orders cost nothing and update themselves when the date, address, or photographer changes. There’s no reason to cancel and re-place one.
  • Check the Floor Plans section before you deliver. An Awaiting scan tile at delivery time means the scan never happened — much better caught before the client’s gallery goes out.
  • Order the GLA report if you sell measured plans. It comes back as a document on the order and delivers with everything else, which saves the “can you also send the square footage” email.

Does Spatiko charge me for CubiCasa floor plans?

No. Orders placed through Spatiko are billed by CubiCasa directly to your own CubiCasa company account, at whatever rates you've agreed with them. Spatiko doesn't resell floor plans, never touches the money, and doesn't show CubiCasa prices anywhere.

What if my photographer doesn't have a CubiCasa account?

Use the GoToScan option — CubiCasa emails the scan link straight to whoever is scanning, which works for a freelancer or even the agent. GoToScan is available for US accounts and needs the property's postal code. Otherwise, set a default scanner, and Spatiko falls back to that person whenever the assigned photographer isn't a user in your CubiCasa company.

Can I cancel a CubiCasa order after the shoot is booked?

Before the scan is submitted, yes — cancelling removes the order from CubiCasa and from the scanner's list, with nothing billed. Pending orders cost nothing while they wait. Once the scan is submitted, production has started on CubiCasa's side, so you manage it there instead.

What happens to my service mappings if I disconnect CubiCasa?

Disconnecting stops new orders and imports, but your mappings aren't deleted. The service editor tells you they'll resume if you reconnect, and offers to remove them if you'd rather start clean.
