Invoicing isn’t a separate tool in Spatiko — it comes straight out of your orders. Every order can produce an invoice, so the moment you book a shoot, the paperwork is already handled. Here’s how invoices, receipts, and payment status fit together.

Invoice or receipt

What the client receives depends on whether there’s money still owed:

  • A balance due — the confirmation email attaches an invoice for the outstanding amount.
  • Already paid — the confirmation email attaches a receipt instead.

You don’t choose between them manually. Spatiko reads the order’s balance and sends the right document. For more on how payment timing is set per order form, see when clients pay.

The confirmation email a client receives — the PDF attached is an invoice when a balance is due, or a receipt once the order is paid in full.

Tracking payment status

Every order carries a payment status, so you can see at a glance what’s outstanding without opening each one. An order’s status is one of:

  • Unpaid — nothing collected yet.
  • Awaiting payment — payment expected, not yet cleared.
  • Partial — some of the balance is paid.
  • Paid — settled in full.
  • Overdue — past due and still owing.
  • Refunded — the full amount was returned.
  • Partially refunded — part of the amount was returned.

Online payments update the status automatically the moment they clear. Payments you take outside Spatiko — cash, check, bank transfer — update it when you record them on the order.

Generated in-house

Spatiko produces your invoices and receipts itself — each one numbered and rendered as a PDF, attached to the order and the client’s confirmation email. There’s no separate invoicing or accounting tool to run, and nothing to re-type into a second system to bill a shoot.

Payment history at a client level

Zoom out from a single order and each client’s record carries a billing summary — order and payment counts, total revenue, outstanding balance, overdue orders, and recent payments. It’s the fastest way to see an agent’s full payment history in one place.

Refunds

When you refund a payment in full or in part, the change is reflected in the order’s payment status as refunded or partially refunded. That keeps your outstanding totals and reporting accurate.

Adjusting an order’s total — discounts and travel fees — happens on the order itself, and the invoice follows the updated amount.
