Abandoned Carts and Quote Requests
Follow up on bookings clients started but never finished, turn an abandoned cart into an order, and track quote requests from your booking form.
Last updated
Not every visit to your booking form ends in a booking. Some clients get as far as the Review step and then leave. Others find the property is outside your area, or want something your catalog doesn’t cover, and ask for a quote instead. Spatiko keeps both kinds of lead, so you can follow up instead of losing them.
Both pages sit under Tools in the left sidebar: Quote Requests and Abandoned Carts.
What counts as an abandoned cart
Spatiko saves a client’s cart once they reach the Review step of your order form with a shoot time picked. A client who pays upfront also gets a cart when they start checking out. If the cart sits for 30 minutes without being booked, it appears on the Abandoned Carts page: “Customers who started booking on your public order page but didn’t complete checkout (idle for 30+ minutes).”
If the client comes back and finishes booking, their cart is removed and the booking comes in as a normal order.
When a cart is abandoned, you hear about it once. Owners and Admins get an in-app notification and an email with the client’s details, and the cart also shows in the Abandoned carts item on your dashboard’s attention list.
A few things to know:
- Abandoned carts are on Pro and up. On lower plans, the page shows an upgrade card instead.
- You need permission to view all orders and to view invoices to open the page. Owners and Admins have both by default. Creating an order from a cart also needs permission to create orders.
The Abandoned Carts list
The list shows Customer, Property, Total, and When for each cart. Click a column header to sort by it. Search by customer name, email, phone, address, or city, and use the Created filter to narrow it down to a date range.
Click a cart to open its details:
- Contact: the client’s email and phone, plus the agent name and company if they gave one.
- Property: the address and property size.
- Appointment: the time they picked and the photographer it belonged to.
- Services: the package and services in the cart, and any promo code they entered.
- Notes: the access details and notes they typed.
Following up on a cart
The details window has everything you need to get in touch. Call and Email open your phone or email app with the client’s details filled in. Many clients just got distracted, and a quick message is often enough to bring them back to finish the booking.
Turning a cart into an order
If the client confirms by phone or email, click Create order. Spatiko asks “Create order from this cart?” and explains what happens:
- It creates an unpaid order for the client with everything in their cart.
- If the time they picked is still free, the order is scheduled for it. If not, the order is created without a time, and you schedule it yourself.
- The client isn’t charged. Request payment from the order when you’re ready.
- The cart leaves the list.
The new order opens straight away, and it starts in your intake stage like any other booking. From there, manage it as usual.
Dismissing carts
Some carts aren’t worth chasing, like test bookings or a client who has already booked by phone. Click Dismiss in a cart’s details to remove it from the list. To clear several at once, tick their checkboxes and click Dismiss in the selection bar. That asks for confirmation first: “They will be hidden from this list. This won’t notify the customer.”
Quote requests
When a property is outside your service area, or no one on your team covers the services a client picked, your order form offers Request a Quote instead of a booking. The client gives their name, email, phone, what they need, and any notes. There’s no time slot and no payment. Order forms covers what the client sees.
Every request lands on the Quote Requests page, and Owners and Admins get an in-app notification and an email when a new one arrives. Quote requests work on every plan. Anyone on your team who can see orders can open the page.
The list shows Customer, Property, Status, and When. Search by customer or address, and filter by Received date or Status.
Responding to a request
Click a request to open it. It shows the client’s contact details, the property address and size, and what they asked for under Request. A request that came from an address outside your service area is flagged Out of coverage area.
Each request has a status:
- Pending: new, and nobody has looked at it yet. Pending requests also show on your dashboard’s attention list, where Mark reviewed clears them without opening the page.
- Reviewed: you’ve seen it but haven’t answered yet. Click Mark as Reviewed to set it.
- Responded: you’ve answered. Type a note about how you responded, for example the price you quoted or when you called, and click Save Note & Mark Responded. The note then shows as Your note, with an Edit link if you need to change it.
The note is only for you and your team. Saving it doesn’t email the client, so contact them yourself using the email address or phone number on the request.
When a quote turns into a booking, create the order by hand with the price you agreed. If you often quote jobs outside your area, it may be worth adding a travel zone so those clients can book directly.
Go deeper
- Order forms — the booking form clients start from, including the Request a Quote option.
- Creating an order manually — book the job by hand once a quote is accepted.
- Custom travel zones — cover more ground so out-of-area clients can book instead of asking for a quote.
- Promo codes — a small incentive to include when you follow up on an abandoned cart.
Frequently asked questions
How long before an unfinished booking counts as an abandoned cart?
Thirty minutes. Spatiko saves a client's cart once they reach the Review step of your order form, and the cart shows up on the Abandoned Carts page once it has sat for 30 minutes without being booked. If the client comes back and finishes, the cart disappears on its own. Abandoned carts are available on Pro and up.
Does creating an order from an abandoned cart charge the client?
No. Create order makes an unpaid order from the cart without charging the client. If the time they picked is still free, the order is scheduled for it. If not, the order is created unscheduled so you can book it. Request payment from the order when you're ready.
Does saving a response note on a quote request email the client?
No. The note is your own record of how you answered, whether you called, emailed, or sent a price. Reply to the client yourself using the email address or phone number on the request, then save the note to mark it Responded.
