Travel time between photography jobs is estimated from the distance between each property's address and a typical drive speed for that route. Spatiko accounts for the drive from your starting location to the first shoot, every transfer between back-to-back appointments, and the drive home from the last job. Custom buffer time can be added per shoot type — ten extra minutes for a drone setup, fifteen extra minutes for twilight gear, whatever you need. Any slot that would force a rushed arrival is automatically removed from the booking form before an agent ever sees it. Mileage is tracked per day for tax and expense reporting.

Appointment duration in Spatiko is calculated dynamically for every booking from two inputs: the property's square footage and the services ordered on the form. Each service — HDR photography, full-length video, drone photo and video, Matterport 3D tour, floor plans, twilight exteriors, and add-ons — has its own base time and a per-thousand-square-foot factor. A 1,500 square foot condo with photo and video gets a short block; a 5,000 square foot estate with photo, video, drone, and twilight gets a long one. The scheduling engine then uses that computed duration to check for conflicts, add drive time buffers, and surface only the slots that can actually fit the shoot. No rushed arrivals because the previous job ran long, no awkward dead hours because a small condo was booked for a full afternoon. Duration calculations keep your team on schedule, prevent over-booking, and make sure the calendar reflects reality instead of a template.

Service area and travel fee configuration in Spatiko is set per photographer. Each team member has a home base address that doubles as the reference point for both drive time calculations and distance-based pricing. Three zones are defined: an included distance where no travel fee applies, a standard zone that charges a configurable per-mile rate, and a remote zone that applies a flat fee instead of per-mile billing. A maximum travel distance caps how far the photographer will go — bookings from addresses beyond that limit are automatically rejected as outside coverage. Fees are calculated round-trip from the home base and shown to the client at checkout before they pay. Travel fees can be toggled off entirely for team members who work exclusively within one area. A live preview shows what a 10, 20, 30, or 50 mile shoot would cost so pricing stays transparent.

Skill tags — the service categories a given photographer is trained and certified to deliver — are assigned individually. When an agent requests a service that requires a specific skill, only photographers with that skill appear as valid options. The scheduling engine then filters again by current availability, drive time from their previous job, and all other rules, and surfaces only the slots where a qualified photographer is genuinely free. Workload can be balanced across the team automatically, so no single photographer gets overloaded while others sit idle.
